The rules of the road.

The agreement

By creating a workspace or using TakeFax, you agree to these terms on behalf of your organization. If you do not agree, do not use the service.

Accounts

You are responsible for activity under your workspace and for keeping access credentials secure. You must provide accurate information and promptly update it.

Acceptable use

Use TakeFax only for lawful healthcare administration. Do not send unlawful, infringing, or malicious content, attempt to breach tenant isolation, or use the service to build a competing model from our outputs.

PHI + the BAA

Processing live Protected Health Information requires a signed Business Associate Agreement and a Practice plan. The BAA governs our handling of PHI and controls over these terms where they conflict on that subject.

Fees + plans

Inbound triage on the free tier is provided at no charge. Paid plans are billed in advance and are non-refundable except where required by law. We may change pricing with notice for the next billing period.

Third-party providers

TakeFax relies on your connected fax provider, AI inference endpoints, and infrastructure subprocessors. We are not responsible for outages or acts of those providers, though we work to route around them.

Disclaimers

TakeFax assists triage; it does not practice medicine or provide clinical or legal advice. AI classification and extraction can err — your team remains responsible for reviewing and acting on documents. The service is provided "as is."

Limitation of liability

To the extent permitted by law, neither party is liable for indirect or consequential damages, and our aggregate liability is limited to the fees you paid in the twelve months preceding the claim.

Termination

You may close your workspace at any time. We may suspend or terminate for breach of these terms. On termination we handle your data per the Privacy Policy and BAA.
